Best Transfer Pricing Software

For CFOs

There are good transfer pricing tools out there. But if you're searching for the best transfer pricing software, it's worth knowing that the label covers three types of products, and none of them does what most companies actually need.

Transfer pricing software is any tool that helps you define, price or evidence the charges between your companies. In practice, it splits three ways:

Documentation tools generate your local file and master file from the data you feed them.

Benchmarking databases sell you comparable company data, so you can show that an independent business doing similar work earns a similar margin.

Operational tools calculate and post prices transaction by transaction across a supply chain.

All three are built on the assumption that you’ve already worked with a traditional firm to set a transfer pricing policy; they execute the judgment, they don't make it.

Which of the three do you need?

TP Documentation software
If you've got a Transfer pricing policy in place and a head of tax who has to produce Local Files every year, documentation software is genuinely useful. It turns a fortnight of copy-paste into an afternoon. The only gotcha is that setting these tools up can be extremely cumbersome so it doesn’t really make sense until you get past 20+ Local Files.

Benchmarking software
If you're setting a margin and your local tax authority expects evidence (looking at you, India and Germany), you need benchmarking data. Some law firms will bundle this into a Transfer Pricing project, so specialist benchmarking software only makes sense when you’re running a lot of intragroup transactions.

TP Operational tools
Operational tools are for companies pushing tens of thousands of internal charges a month through a real supply chain. If you’re past the $750m revenue threshold, you’ll be all over this. If not, they solve a problem you may not have.

None of them decides which entity should own the IP, what your engineering team in another country should charge for services, or whether the policy you signed off two years ago still holds.

Is there a fourth option?

If you’re still reading this, it’s probably because you’ve realised that none of the transfer pricing tools you’ve been researching are going to make your life easier. Instead, the choice is: “Do I engage a mid-market law firm or the Big Four to set up a policy?”

But there’s a reason founders, CFOs, and finance leads shudder at the thought of working with traditional firms: they often won’t stand behind their work without additional tax or legal review - “this agreement is fine for [countryA], but you’ll have to check with someone else that it works for [countryB]”. (Which is the completely wrong way you’d want someone to define a group’s transfer pricing policy, but I’ll save that for another post).

One Head of Finance told us they dedicate a month of Q4 to transfer pricing. Not doing transfer pricing, but emailing their advisers about it, filling in templates, and pulling executives into calls.

And the result? A 40-page policy document and agreements that local accountants don’t fully understand - which go out of date the moment your CEO relocates, you hire in a new country, or set up another entity.

But wait, there’s another way

Transfer pricing, stripped of the jargon, is a playbook for running your group in the least problematic way (from a tax, compliance, and legal perspective). Here’s what you actually need.

  1. A framework: A scalable, robust policy, with clear reasoning behind each decision in case the worst happens (tax authorities will ask for this). This is the most complex and important part.

  2. Agreements and accounting: The paperwork that makes the policy real, with accounting adjustments done at the right cadence. Local and Master Files are included here, but you’ll struggle to do these well if the earlier work hasn’t happened.

  3. Monitoring: Somebody has to watch for drift between policy <> agreements <> accounting as you grow. This will fall on the most senior finance person, or a CEO/COO if one hasn’t been hired.

Most enterprise transfer pricing software assumes you’ve already had a firm set the framework, and you only need documents produced faster, but just as often, it’s the other way round. There isn’t much paperwork to speed up, and the decision is the part you haven’t made yet.
